Privacy Policy

The Mississaugua Golf and Country Club (the “Club”) is committed to maintaining the confidentiality of information that has been provided to the Club by Members, Guests and others.  This Privacy Policy has been prepared to confirm such commitment and to assist Members in understanding the type of Personal Information that the Club may collect from Members and from others, how the Club may use that Personal Information, to whom the Club may disclose it, and how that Personal Information and a Member’s privacy is safeguarded. The Club is committed to collecting, using and disclosing Personal Information in a responsible manner, and only to the extent necessary for the services provided. 

COLLECTION, USE AND DISCLOSURE OF PERSONAL INFORMATION

Personal Information means information about an identifiable individual.  Personal Information would include such things as a person’s home address and telephone number, e-mail address, age, gender and financial information.  Personal Information does not include certain business information, specifically, a person’s title at work, business address and business telephone number. 

If the Club wishes to collect Personal Information from Members, Guests or other individuals, it will seek to obtain consent before gathering the information, and will explain how it is intending to use the information.  Consent can either be express or implied.  Personal Information is typically collected through Membership application forms or other documents that the Club requires Members to complete from time to time to update the information on file.  The Personal Information that the Club typically collects includes contact information (such as addresses, telephone numbers, facsimile numbers and e-mail addresses) and financial information (such as credit card or bank account information) as required in order to communicate and provide goods and services to Members or Guests.  A Member may withdraw consent for the Club to use Personal Information for certain purposes upon providing reasonable notice to the Club’s Privacy Officer. 

In certain circumstances, the Club may disclose Personal Information without a Member’s consent.  Such circumstances include: where required by law or by order of a court or tribunal; where the information is used for the purpose of collecting a debt owed to the Club; where the Personal Information is requested by a government institution upon lawful authority, or as may be otherwise required by law.  In such circumstances, the Club will not disclose more information than is reasonably necessary.

The Club does not sell, trade or exchange any Personal Information to any third-party agencies. 

  

SECURITY OF INFORMATION

The Club takes all reasonable precautions to safeguard Personal Information, whether the information is kept electronically or otherwise.  This involves ensuring that the only persons who view Personal Information are those who reasonably have the need to do so, and that where necessary and appropriate, sensitive Personal Information may be locked in filing cabinets or in offices.  All Club employees are trained to collect, use and disclose Personal Information only as necessary to serve Members’ or Guests’ needs and in accordance with this Privacy Policy.  Electronically, all Club computers and the computer network may only be accessed with passwords which are updated regularly.  The Club uses industry-standard firewalls to protect against unauthorized access of web servers or data.

The Club may use other agents, contractors or companies to perform services on its behalf and such parties may have limited access to certain Personal Information that has been properly collected.  In each case, the Club restricts the third-party’s access to Personal Information as much as is reasonably possible.  

 

ACCESSING PERSONAL INFORMATION

The Club strives to ensure that Personal Information about Members and Guests is as accurate as possible.  A Member may make a request at any time to have an opportunity to review any Personal Information the Club has on file about him/her.  The Club will update records promptly to correct inaccurate information on file.  In some cases the Club may be unable to access Personal Information, and will advise an individual, if possible, why such access cannot be provided.  The Club will respond to a Member’s or Guest’s request to access his/her Personal information within a reasonable time, usually no later than 30 days after the receipt of the request.

 

USE OF THE CLUB’S WEBSITE

A Member can visit most pages on the Club’s website without giving any Personal Information about him/herself; however, sometimes the Club does need Personal Information to provide services that are requested.  The Club only collects Personal Information that a Member submits voluntarily.  By providing the Club with such information, a Member consents to the collection and use of Personal Information for such purposes.  The Club will remove a Member from our mailing list/online database upon receiving a request in writing.   

Due to the nature of the internet, however, no data transmission over the internet is fully secure.  A Member should be aware of this before sending any information through the website as the Club cannot guarantee that any information transmitted to the Club will not be intercepted and/or misused by third-parties.

 

USE OF COOKIES

Some of the Club’s web pages use "cookies" to allow better service with customized information when a Member returns to the site.  Cookies are identifiers that a website sends to a browser and stores on a computer to streamline the next visit to the site.  The Club uses cookies to estimate the number of people that are accessing the website and to track the pages of the website that are being visited.  The Club does not gather information on individual users.  The information the Club obtains from the use of cookies is only used to follow the preferences of visitors and optimize the website accordingly.

 

LINKS

The Club's website may from time to time contain links to other websites that may collect Personal Information.  The Club does not assume any responsibility for the privacy practices or policies of other links, and cannot be held liable for the actions of those third-parties.  A Member should review the privacy policies of such parties before providing them with any Personal Information.

 

RETENTION OF INFORMATION

The Club is required to maintain certain Personal Information for a period of time to comply with federal and provincial laws regarding the retention of certain records.  All Personal Information will be disposed of or made anonymous when appropriate, and in a manner that is secure and which respects privacy.  When a Member's or a Guest’s information, including Personal Information, is disposed of, paper files are shredded and information kept electronically is deleted from computers and the computer network.

The Club has implemented procedures to receive and respond to inquiries or complaints regarding the Club’s collection, use and disclosure of Personal Information.  If a Member has any questions or concerns with respect to the Club’s privacy practices, he/she should contact our Privacy Officer at:

The Privacy Officer will endeavour to answer questions or concerns as quickly and completely as possible.  The Club will investigate all complaints, and if a complaint is justified, the Club will take all appropriate measures to rectify the concern or to amend the Club’s privacy practices. 

The Club reserves the right to amend this Privacy Policy at any time, and Members are encouraged to refer back to this Privacy Policy regularly.  Any amendment to this Privacy Policy will apply to the Personal Information collected, used or disclosed from and after the date of such amendment.
